1. Introduction

At Uganda Coffee Suppliers, we are committed to ensuring the reliable, secure, and timely delivery of our green coffee shipments and evaluation samples to commercial roasters, green coffee importers, and wholesale buyers across Europe and worldwide. This Shipping and Delivery Policy outlines our operational procedures, Incoterms, transit corridors, and logistics workflows.

2. Sample Dispatch & Courier Delivery

For prospective and existing B2B clients requesting physical green coffee evaluations:

  • Sample Sizes: Standard green coffee samples range from 300g to 1kg (Type Samples, Stock Lot Samples, or Pre-Shipment Samples).
  • Courier Partners: Samples are dispatched worldwide from our Kampala facility via trusted express courier networks, including DHL and FedEx.
  • Dispatch Timeline: Sample requests are typically processed and dispatched within 2 to 3 business days, with international air express delivery taking approximately 4 to 7 business days depending on destination customs clearance.

3. Full Container Load (FCL) Export Logistics

For commercial trade contracts and full container loads (FCL):

  • Minimum Order Quantity (MOQ): Our standard export contract is based on one 20-foot dry container load (approx. 320 to 360 bags of 60kg green coffee, representing roughly 19.2 to 21.6 metric tonnes net weight).
  • Packaging Standards: All green coffee is packed in durable 60kg export-grade jute bags fitted with high-barrier GrainPro or EcoAdapt inner liners to protect the beans against moisture fluctuations, condensation, and ochratoxin A (OTA) development during ocean transit.
  • Transit Corridor: Containers are loaded and sealed under official UCDA and customs supervision in Kampala before traveling via secure road or rail transit corridors to the Port of Mombasa (Kenya) for ocean freight dispatch.

4. Incoterms & Shipping Terms

All commercial export shipments are governed by agreed Incoterms 2020 as specified in your individual Sales Contract or Proforma Invoice. Our standard trade terms include:

  • FOB Mombasa (Free on Board): Uganda Coffee Suppliers is responsible for all inland transport, export clearance, UCDA/ICO documentation, and loading the container onto the vessel at the Port of Mombasa. Risk and cost transfer to the buyer once the goods pass the ship’s rail.
  • CIF (Cost, Insurance, and Freight): We arrange and pay for ocean freight and marine insurance to the designated destination port (e.g., Hamburg, Antwerp, Rotterdam, Genoa). Risk transfers to the buyer once the goods are loaded aboard the vessel at origin.

5. Ocean Freight Transit Times

Estimated ocean freight transit times from the Port of Mombasa to major international destinations generally range as follows:

  • European Ports (Hamburg, Rotterdam, Antwerp, Genoa): 25 to 35 days
  • Middle East & Asian Ports: 14 to 25 days
  • Note: Transit times are commercial estimates provided by shipping lines and may be subject to carrier schedule adjustments or port congestion.

6. Export Documentation & Compliance Handover

To ensure seamless customs clearance at destination ports, we provide a complete set of legal export documents for every commercial consignment, including:

  • Official UCDA Quality & Export Certificates
  • International Coffee Organization (ICO) Certificates of Origin
  • Phytosanitary Certificates issued by MAAIF
  • Clean Bills of Lading and Commercial Invoices / Packing Lists
  • EU Deforestation Regulation (EUDR) traceability datasets and geolocation polygon summaries (for shipments destined for the European Union).

7. Force Majeure & Shipping Delays

Uganda Coffee Suppliers shall not be held liable for delivery delays or failures resulting from events beyond our direct operational control. This includes acts of God, extreme weather disruptions, regional transport strikes, maritime labor disputes, port congestion at Mombasa, or unexpected governmental export policy modifications. In the event of a delay, our logistics team will notify the buyer immediately and coordinate alternative routing solutions where feasible.
